Power Apps for capturing payroll changes without transcription errors.

From the email with an attachment to the form with validations. How to design capture so that the close does not depend on manual review.

In a payroll audit, a considerable share of findings come not from calculation errors but from capture errors: a change that arrived by WhatsApp and nobody recorded, a file in a different format than expected, an ID number mistyped. The payroll system correctly processed what it was given; the problem was upstream.

Power Apps closes that door. The idea is not to replace the payroll software but to put a controlled form in front of it, where each area manager records their people's changes with validations at the moment of typing.

The validations with the most impact are simple: the employee is selected from a list, never typed; dates cannot be before the current period or after the close; concepts come from a closed catalog; values have maximum ranges that trigger an alert when exceeded; and mandatory fields prevent submitting an incomplete form. Each of those rules eliminates an entire category of findings.

The second benefit is traceability. Every change is recorded with who entered it, when, and what supporting document was attached. In a later audit — internal or third-party — that evidence is worth more than any verbal explanation.

On scope, a practical warning: do not try to build a payroll system. Power Apps is excellent for capturing, validating and routing; it is a bad idea to use it for calculating pay. Payroll calculation has regulatory rules that change, requires accounting traceability and must support historical recalculations. That job belongs to a specialized system, and our role is to make sure it receives clean information.

The question that closes the design is who administers the application once the consultant leaves. If the answer is "nobody", the project will last until the first regulatory change. That is why delivery includes an administration manual, a concept catalog editable by the area and training for at least two people.
